Privacy Policy

We collect the information you provide when you create an account (such as name, email, role, and class level), the questions and messages you send through the platform, and usage information needed to operate and improve the Services. We do not sell your personal data.

Live one-to-one tuition sessions are conducted over Google Meet and are recorded and transcribed by our AI notetaking provider. Recordings and transcripts are used for quality, safety, and to generate post-class learning summaries. By joining a session you (or, for minors, your parent or guardian) consent to this recording and transcription.

After a class, we may generate an anonymised learning summary. Where a summary has been reviewed and approved, it may be used to improve and train Acemind's AI tutor. Raw session recordings and transcripts are not used for AI training; only approved, anonymised summaries are.

Raw session transcripts and recordings are retained for approximately 90 days (stored in Cloudflare R2) and then deleted. Approved learning summaries are retained for the current academic year to support each student's progress. Account information is kept while your account is active.

Messages exchanged between students and teachers on the platform are monitored by Acemind administrators to protect against inappropriate contact and to keep students safe. Messages that are automatically flagged may be held for administrator review before delivery.

The Services are used by K-12 learners, including minors. For students who are minors, a parent or legal guardian must provide consent before the student uses the Services — including consent to session recording, transcription, the AI-training use of approved summaries, and monitored chat described above.

We use trusted service providers to deliver the Services. These include:

• AI notetaking provider — session recording & transcription.
• Google (Gemini & Google Meet) — AI tutor responses and live session hosting.
• Razorpay — payment processing.
• Firebase (Google) — authentication and database.
• Cloudflare R2 — file and recording storage.
• MSG91 — WhatsApp and SMS notifications.

These providers process data only as needed to provide their part of the Services.

You may request access to, correction of, or deletion of your personal data, subject to applicable law and our retention periods above. To make a request or ask a privacy question, email us at info@acemindacademy.com.

We may update this Privacy Policy from time to time. Material changes are reflected by a new policy version (currently v1.0). Where required, we will ask you to re-confirm your consent before you continue using the Services.
